Sign in with Discord

  1. Open TRAINLY and choose Sign in.
  2. Choose Continue with Discord and approve the login.
  3. TRAINLY keeps your Discord id, username, and avatar so the desk knows who you are.

Add the bot

  1. Open Servers after you sign in.
  2. Find the community and choose Add bot. The button is only there when TRAINLY is not in the server yet.
  3. Discord opens with that server already selected. Authorize Manage Roles, Change Nickname, View Channel, Send Messages, and Embed Links, then you come back to TRAINLY.

Open a server desk

  1. On Servers, choose Open desk for a community that already has the bot.
  2. The Discord server owner controls that desk, including who else can work in it.
  3. If the card says Add bot, finish the invite before the desk will open.

Create panels

  1. Every desk starts with a Staff panel. Existing courses sit there.
  2. On the overview, pick a department such as Police or Fire, or type a custom name, then choose Add panel.
  3. Each panel has its own courses, quizzes, ride-alongs, trainee role, and trained role.
  4. Free includes 2 panels. Premium removes that cap.

Access roles and trainers

  1. Open Settings, then Access Roles.
  2. Create a role, link it to a Discord role, and turn on the permissions that role should have.
  3. Choose all panels, or only the panels that role should see. People with that Discord role receive those permissions.
  4. Per-person grants on the Team page combine with access roles. A trainer Discord role can also be saved from Roles and permissions.

Courses and quizzes

  1. Open Courses on the panel you want.
  2. Choose New course, or import a template and edit it.
  3. Add modules, then add quiz questions on that course. Publish it when trainees should see it.

How trainees take a quiz

  1. The trainee signs in on the website. Quizzes are not taken in Discord.
  2. They open My training or Quizzes, start the quiz, and submit the answers.
  3. Questions and choices are shuffled on every attempt. The score is saved on the desk.

Log a ride-along

  1. Open Practicals and choose Start a ride-along.
  2. Pick the trainee and score each line on the checklist.
  3. Submit pass or fail. The note is stored with the record.

Promotions

  1. A passing result grants the roles named on the course.
  2. If the course names none, the panel rank ladder moves the member up one step.
  3. Rank steps are edited on the panel from the overview.

Assign Premium

  1. Premium is $5.99 a month, $49.99 a year, or $99.99 once. Monthly and yearly include a 7-day trial.
  2. Checkout is not open yet, so the trial and buy buttons say coming soon.
  3. A Premium seat belongs to an account. The owner assigns that seat to one of their servers from Billing.

Bot commands

  1. The bot only looks things up. Creating courses, grading, and settings stay on the website.
  2. Staff commands can take a panel option, such as panel:Police. Leave it empty for every panel you can view.
  3. /help: Shows the read-only commands and a link to the desk.
  4. /info: Posts the linked server name, plan, course count, and open ride-alongs.
  5. /ping: Replies with the gateway delay so you can see the bot is awake.
  6. /invite: Returns the bot invite with the permissions TRAINLY needs.
  7. /support: Sends the TRAINLY support server invite.
  8. /dashboard: Points staff at the web desk for the current server.
  9. /status: Reports whether the website, database, and bot heartbeat are current.
  10. /trainees: Members with the Trainee role and the courses, quizzes, or ride-alongs they have left.
  11. /trained: Members with the Trained role, plus anyone who finished every published course.
  12. /progress: Done and left for courses, quizzes, and ride-alongs, with each quiz attempt.
  13. /quizscores: Recent quiz attempts, optionally for one member or one course.
  14. /ridealongs: Open and finished ride-alongs, optionally for one member.
  15. /leaderboard: Quiz passes, ride-along passes, or duty time.
  16. /trainers: Owners, admins, and trainers on the desk.

Owner-only Danger Zone

  1. Open Settings, then Danger Zone. Only the Discord server owner can open it.
  2. An access role cannot reach it, even the Admin preset.
  3. From there the owner can pause the desk, reset training data, delete the server, or transfer ownership.

Get support

  1. Join the TRAINLY support server from the link at the bottom of this page, the footer, or /support in Discord.
  2. Say which server desk you mean and what you expected to happen.
